Rules

Please note: The person who makes the booking (or the legal entity’s representative as notified by to BBCP) is required to be present for the duration of the booking. Times of arrival and departure stated in this agreement must be strictly adhered to and include set up, pack up and cleaning time. To change the times please call 09 483 9149 Monday to Friday between 9am and 3pm.

1- Bond

  • A bond may be required depending on the type of booking, this will be at the discretion of the manager and will not exceed $150.

2- Upon Arrival

  • Turn off alarm

  • Clearly state your name, time and number of people in attendance in the notebook in foyer.

  • As several groups may be using areas of Birkdale House simultaneously all users are required to be co-operative and considerate to others at all times.

  • Children must be supervised at all times.

3- Extra Charges

  • If you use the Tea, Coffee or Hot Chocolate we would appreciate a donation per cup.

  • Cleaning or Security fee – Detailed later in the contract.

  • Any damages to equipment will need to be repaired or replaced by the user group.

4- Smoking

  • Smoking is not permitted anywhere within the Community House, or the surrounding grounds.

5- Equipment

  • Projector and whiteboard available upon request. There are tables and chairs available for use in the premises.

  • No equipment is to be removed from the Houses unless authorised prior.

  • You are welcome to move furniture around as you wish but we do ask that moving of the couches is done by 2+ people and lifted not dragged as it will ruin our carpet. All furniture is to be returned to where it was from before you leave.

6- Early Learning Centre

  • The Early Learning Centre is out of bounds. This is a separately run facility there is no

7- Security

  • Security call-outs as a result of negligence or error will be charged to the house user $1508

8 - Upon Departure

  • Ensure all lights and electrical appliances are switched off (please leave air conditioning system on), windows and doors closed and locked. All rooms used are to be tidied and furniture returned to original positions.

  • Please close all blinds

9 - Keys

  • Your key opens the front door and will unlock the back door. If you need access to the cleaning cupboard or Ann’s house you will find the keys behind the photocopier please ensure that you return them!

10 - Cleaning of the premises

  • The hirer is expected to leave the Birkdale Community House tidy and secure

  • If the hirer leaves the house in an unacceptable state you will be charged a cleaning fee of $150

  • The cleaning products and vacuum is located in the cupboard beside the outside toilet.

  • Please take your rubbish away with you when you leave.

11 - Safety and Emergency Procedures

  • No Candles or incense on the premises

  • You will find a fire hose located opposite to the kitchen in the main house and a fire extinguisher in the kitchen in Ann’s House.

  • Fire and emergency procedures are located in the foyer please read them upon arrival.

  • If any accident occurs while you are using the centre please call the after-hours number to report 027 222 7462.

Cancellation of Booking
Any cancellation to a booking must be done in writing/email. No charge will be levied if notice is received prior to 7 days prior of the booking date, less than 48hrs notice will result in a charge of half the hire charge. If cancelled lass than 24hours to booking full hire charge will be charged unless special circumstances which will be at discretion of manager.

Any changes to a booking must be done in writing/email, a minimum of 24 hours notice is required.

Host's Cancellation Policy
100% refund on cancellations up until 3 days before your booking. After that, cancel and get a 50% refund.
